These terms apply to every booking with Butler Direct. We’ve kept them short and in plain English, so you know where you stand from the moment you book. If anything isn’t clear, just ask.

  • A deposit secures your date. It’s usually 20% of the price, with a minimum of £50.
  • Your balance is due 14 days before your event.
  • Your numbers can change by up to 10% at the same price per person.
  • You can ask to move your date once for free, at least 14 days before. Date changes depend on availability.
  • Cancel 14 days or more before your event and you only lose your deposit.
  • Everyone must be 18 or over, and our team must be treated with respect.
  • We’re fully insured, with £10 million of public liability cover.

1.About us

  1. 1.1These terms are between you and Butler Direct Ltd, a company registered in England and Wales (company number 14119068). Our registered office is at 20 Lower Hall Lane, Liversedge, WF15 6QD.

  3. 1.3In these terms, “you” means the person who makes the booking, and “we” means Butler Direct Ltd. Our “hosts” are the butlers, life models, mixologists and performers who come to your event.
  4. 1.4As the lead booker, please share these terms with your group, especially sections 11 and 12.

2.Your quote

  1. 2.1Your quote sets out what’s included and the full price of your booking.
  2. 2.2Quotes are valid for 14 days unless we say otherwise. After that, we’re happy to check the date again and send you a new quote.
  3. 2.3Cocktail masterclasses include the glassware, bar kit and every ingredient, alcohol included.
  4. 2.4For butler service, you provide the food and drink, and your butler serves it to your group.

3.Booking and your deposit

  1. 3.1To book, you pay a deposit. It’s usually 20% of the total price, with a minimum of £50, and the amount is shown on your quote and deposit invoice.
  2. 3.2We’ll send you a secure link to pay your deposit. The link is live for 7 days. If it runs out, just ask and we’ll send you a new one.
  3. 3.3Your date isn’t reserved until your deposit is paid. Once it is, your booking is confirmed, and we’ll send your booking confirmation within 24 hours.
  4. 3.4If you book less than 14 days before your event, the full price is due when you book.
  5. 3.5Your deposit is non-refundable if you cancel (see section 7). If we have to cancel, we’ll refund it in full (see section 8).

4.Paying your balance

  1. 4.1The rest of the price, your balance, is due 14 days before your event. We’ll send you a reminder before then.
  2. 4.2If your balance still hasn’t been paid 7 days before your event, we may cancel your booking and keep your deposit. We’ll always contact you before we do this.

5.Guest numbers

  1. 5.1Your price is based on the number of guests you book for.
  2. 5.2Your numbers can go up or down by up to 10% and your price per person stays the same, so you simply pay for the new number of guests. For example, a booking for 20 guests can change to anywhere from 18 to 22 guests.
  3. 5.3If your numbers change by more than 10%, we’ll send you a new quote based on the price per person for your new group size. For a smaller group, the price per person may go up slightly, but your total will still be lower. Your deposit counts towards the new total.
  4. 5.4Please confirm your final numbers when you pay your balance. After that, we’ll still add guests if we can, but the price won’t go down if fewer guests come on the day.

6.Changing your date

  1. 6.1You can ask to move your booking to a new date once, free of charge, as long as you ask at least 14 days before your event.
  2. 6.2Date changes depend on availability, so we can’t guarantee one. We’ll always do our best to find a date that works for you, and if we can move your booking, your deposit and anything else you’ve paid move with it.
  3. 6.3If we can’t offer a new date that suits you, your original booking stays in place. If you then decide to cancel, section 7 applies.
  4. 6.4If the price for your new date is different, we’ll tell you before we confirm the change.
  5. 6.5A second date change, or a change within 14 days of your event, counts as cancelling your booking (see section 7) and making a new one.

7.If you cancel

  1. 7.1If you need to cancel, please tell us in writing. An email to [email protected] is fine.
  2. 7.2If you cancel 14 days or more before your event, we’ll keep your deposit and refund anything else you’ve paid.
  3. 7.3If you cancel within 14 days of your event, the full price is due, because we’ll have reserved our team for you and turned other bookings away. If we manage to fill your slot with another booking, we’ll refund as much of your balance as we can.
  4. 7.4The law gives you 14 days to cancel most bookings made online or by phone, but that right doesn’t apply to leisure services booked for a specific date. It doesn’t apply to your booking, so sections 6 and 7 set out your options instead.

8.If we need to change or cancel

  1. 8.1If your host can’t make it, for example because of illness, we’ll send another host of the same standard and let you know as soon as we can.
  2. 8.2If we can’t cover your booking at all, including because of something outside our control such as severe weather, we’ll offer you a new date or a full refund of everything you’ve paid, including your deposit. The choice is yours.

9.On the day

  1. 9.1For cocktail bookings, your host arrives 30 minutes before your start time to set up, and stays for 30 minutes afterwards to pack away. Please make sure they can get in at that time.
  2. 9.2If your group isn’t ready on time, we’ll start as soon as you are, but your booking will still finish at the agreed time. If your host is late, you’ll still get the full time you booked, and we’ll move your finish time back to make up for it.
  3. 9.3If you’d like extra time on the day, just ask. It depends on your host being available, and we’ll agree the price with you before it starts.
  4. 9.4Your booking ends at the agreed finish time. Anything you arrange directly with your host after that is a private arrangement between you and them, and isn’t part of your booking with us.

10.Your venue

  1. 10.1Please make sure your venue allows the entertainment you’ve booked. If you’re staying in a holiday let or an Airbnb, check the house rules.
  2. 10.2Tell us in advance about anything that might affect getting in, such as parking restrictions, gate codes, stairs or a late check-in.
  3. 10.3For cocktail masterclasses, we’ll need a table and a little worktop space.
  4. 10.4Your venue needs to be a safe place for our team to work. If it isn’t, your host may not be able to go ahead, and section 7.3 will apply.

11.Guests, alcohol and allergies

  1. 11.1Everyone at your booking must be 18 or over.
  2. 11.2Our hosts may ask for ID, and won’t serve alcohol to anyone who appears to be under 18 or to have had too much to drink.
  3. 11.3Please tell us about any allergies or dietary needs before your event, so we can plan around them.

12.Respecting our team

Our hosts love what they do, and they work hard to make your celebration one to remember. But your party is their workplace, and they deserve the same respect as anyone else at work.

  1. 12.1Please treat your host with courtesy and respect, and make sure everyone in your group does too.
  2. 12.2Your host will happily join in the fun, but please respect their boundaries: no touching unless they invite it, and no inappropriate comments, requests or behaviour.
  3. 12.3Please don’t ask your host to do anything beyond the service you’ve booked.
  4. 12.4If your host feels unsafe, or is treated with disrespect or abuse, they may end the booking early, and no refund will be due.
  5. 12.5Photos are welcome. Please ask your host before filming, and don’t share videos of our team online without their permission.

Our promise to you

We’ll always do our best to give you a brilliant time. We treat our team well and we treat our clients well, because putting both first is what Butler Direct is all about. When our hosts feel looked after, you get an even better party.

13.Damage, insurance and our responsibility

  1. 13.1We take care at every venue, and we hold public liability insurance with £10 million of cover. If your venue needs a copy of our certificate, just ask.
  2. 13.2If anyone in your group damages our equipment on purpose or through carelessness, we may charge you the cost of repairing or replacing it.
  3. 13.3We’re responsible for loss or damage you suffer that’s a foreseeable result of us breaking these terms or not using reasonable care and skill. We’re not responsible for loss or damage that wasn’t foreseeable.
  4. 13.4Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn’t allow us to limit. These terms don’t affect your legal rights as a consumer.

14.Complaints

  1. 14.1We want every booking to be brilliant. If something isn’t right, please tell your host on the day so they can try to fix it, or email [email protected] as soon as you can, ideally within 7 days of your event.
  2. 14.2We’ll reply within 5 working days and do our best to put things right.

15.Your details

  1. 15.1We use your details to manage your booking and to keep in touch with you about it.
  2. 15.2We only share them with the host assigned to your booking, so they can contact you before the day.

16.Changes and the law

  1. 16.1We may update these terms from time to time. The terms that apply to your booking are the ones on this page when you paid your deposit.
  2. 16.2These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
